After School Enrichment Policies

LATE REGISTRATION

For in-person classes, students can be registered for classes through Baroody Camps after a session begins if space is available. Unfortunately, late registrations cannot be refunded. If you need assistance, please contact info@baroodycamps.com

 

Late registration for clubs through the CRS PTA website is subject to space availability in the respective club. Please get in touch with the coordinator of the club. A non-refundable fee of $40 will be charged. Registrations after the start of a club will not be prorated.  

 

For Chess Club, late registrations are accepted through the third week of the club session. Please use the registration link provided on the Chess Club page to complete your registration. If you need assistance, please send an email to admin@chessctr.org.


DISMISSAL PROCEDURES

Please go over your child's class or club schedule so that they will remember to attend the class/club rather than riding the bus, walking home, or waiting for a ride. Students in K-3 will be escorted to the CRS gym by a staff member, and students in 4-6 will be dismissed directly to the gym. Instructors will meet students in the gym. When registering your child with Baroody Camps, you can indicate whether your child will be walking home or picked up.

 

Please check the end time of your child's class/club and remember to pick up your child on time. Unfortunately, buses are not available after classes/clubs end. 

 

Note: For students in clubs, the instructors leading those clubs will provide dismissal procedures and contact information directly to the parents of participating students. 

 

For all ASA classes run through Baroody Camps, students being picked up will be escorted to the front lobby by their instructor. Students enrolled in SACC will be escorted to that program. Students authorized to walk home will be dismissed from their class locations. If your child is not attending ASA on a given day, please notify the Onsite Coordinator via email: asa-attendance@churchillroadpta.org.

 

Parents are responsible for ensuring their children are picked up on time from the ASA program classes each day. If a parent or authorized adult arrives more than 10 minutes late to pick up a student, the Onsite Coordinator will issue a late pick-up slip the parent or authorized adult must sign. The CRS PTA will then assess a $25 late pick-up fee to the parent. If you will be late, contact the Onsite Coordinator. Repeated late pick-ups may result in dismissal from the program with no refund.

Number of Registrations

Students can be registered for up to 5 classes/clubs (1 per day) for each session. Kindergarteners can participate in the Spring session of the ASA program.

Refunds/Cancellations

Please consider class and club choices carefully, as refunds will not be given past the designated period.

  1. For information on withdrawing and requesting a refund before starting a class offered through Baroody Camps, please go to EM's FAQs. The deadline for withdrawing from a class is 48 hours after the first class date (contact info@baroodycamps.com). Baroody will issue a prorated refund.

  2. For clubs and classes offered directly through the CRS PTA (such as Science Olympiad A/B and Math Enrichment), requests to withdraw before the end of the registration period will be honored, minus a $40 processing fee. Please contact the respective club coordinator.

  3. For Chess Club, fees are non-refundable after registration ends. However, refunds before the end of registration will be minus a $10 service fee. 

  4. No refund will be issued if your child is asked to withdraw from a class or club due to behavioral issues.

COVID-19: If school closures or new health restrictions result in the cancellation of enrichment classes,  families will be issued prorated refunds after the last week of scheduled session dates. For any brief school closures where programs can resume upon return, we will attempt to use the planned makeup date(s) so students have the opportunity to take their class when possible. All providers and instructors will follow safety policies and guidelines set forth by FCPS and CRS.

Waitlists

For classes through Baroody Camps, you can register to be on the waitlist, and students will be moved into a class on a first-come, first-served basis. For classes and clubs with registration online through the CRS PTA website, openings will be offered in order of the waitlist position (you will be able to register on our website to join the waitlist).

Minimum Class or Club Size Requirements

All classes and clubs have a minimum number of students required to make the class/club feasible to run. If the minimum is not met by the close of registration, the class (for those via Baroody Camps) will be canceled, and registered parents will have the option to apply the fee paid to another available class (that is not yet full) or receive a full refund. Affected registrants will have 24 hours to request a transfer once notified.

 

For classes and clubs managed directly through the CRS PTA, parents will be notified by the CRS PTA if the class/club is canceled, and we will provide refunds via check.

Students in SACC

For children participating in a before-school ASA class who are at SACC before school, please fill out the authorization form (PDF) for SACC to take your child to the class/club. Children participating in after-school activities and SACC will be dismissed from their homeroom to ASA and then brought to SACC after their ASA class finishes. (For the authorization form, PDF viewers are available from Adobe Reader or Foxit).

Class and Club Cancellations

When there is inclement weather and CRS is closed or dismissed early (or delayed start for morning classes), ASA program classes and clubs are canceled. If an instructor needs to cancel a class, they will email the parent/guardian as soon as possible. In emergency cases where instructors cannot get to classes as scheduled, the Onsite Coordinator will call parents/guardians to pick up their children and supervise them until a parent or authorized adult arrives (students in SACC will be sent to that program).

 

Depending upon the session and availability of makeup class dates, a makeup class may be scheduled for ASA program classes. For example, the Winter session has 2 makeup dates reserved for each class (if more than 2 dates are missed due to inclement weather or snow cancellations, additional makeup dates are not available, and no refunds will be issued).

Early Dismissal Days

When FCPS has scheduled early dismissal, no ASA classes or clubs are held.

Log in to your account on Baroody Camps to access your past purchase history.

For Classes or Clubs Registered via the CRS PTA Website

Log in to your account on our website if you are not already logged in. Mouse-over My Account in the main navigation menu and click on Previous Orders. This will take you to a page that lists all the invoices issued to your account. If you click the particular invoice line, you will see the entire invoice, and you can download or print it.

For Classes Paid Directly via Check to the CRS PTA
